Three ways in

However the paperwork arrives, it gets booked.

Talk to it, drop a folder on it, or let it pick up the phone. Everything lands as a draft you approve.

Say it

You talk

English or French, phone or desktop. Half a sentence is enough.

  • Account, tax codes, class, receipt match
  • Every field filled, none posted
  • Approve the batch, or open the four it flagged
Drop it

Drop the shoebox. All of it.

Statements, receipts, supplier invoices, a payroll export, photos taken at a red light.

  • Works out what each file is first
  • A lease becomes a filed document, not a transaction
  • Nothing needs sorting first
It calls

It talks to them.

It phones about overdue invoices, answers the line at 19:42 on a Sunday, and books what happens.

  • It says what it is
  • It never takes a card
  • It calls civil hours, 08:00 to 21:00

One screen of drafts

Open the app and know where you stand.

  • What came in overnight, drafted and waiting for one approval.
  • Money in, money out, owed to you and cash on hand, by period.
  • What needs you: flagged drafts, late invoices, the month to close.

Where the line sits

The AI drafts. You sign.

Every accounting tool now claims AI. Almost none will tell you what it does on its own and what it hands back. Here is ours, in full.

CubeBooks does this alone

Runs unattended, logged, reversible.

  • Sorts a dropped folder by document type before reading any of it
  • Pulls vendor, date, subtotal, GST and QST off every receipt
  • Picks the account from how you coded the last one
  • Matches statement lines to drafts and kills duplicates
  • Chases the invoice on day 7, 14 and 30
  • Answers the phone, books the job, drafts the quote
  • Calls about an overdue invoice and logs what was said
  • Flags anything it is under 90% sure about

You do this

Two minutes a week, on your phone.

  • Approve the batch of drafts
  • Settle the flagged ones, usually three or four
  • Say yes before any payment leaves
  • Approving which customers it may phone at all
  • Sign the return your accountant files

Questions people actually ask

What happens when it gets one wrong?

It tells you first. Anything below 90% confidence lands in the flagged queue instead of the ledger. When you correct a draft, the next one like it follows your correction. Every entry keeps the audio, the receipt and the version history, so an auditor can trace it back to the sentence you said.

How much can I drop at once?

A folder, a year, an inbox export. There is no batch limit on paid plans. Files are read in parallel and you get one review queue at the end, sorted by what needs you most. Anything CubeBooks cannot read comes back with the reason, not silence.

Can my accountant work in it?

Yes, at no charge. Accountant seats are free on every plan. They get a review queue, adjusting entries and a one-click export to QuickBooks, Xero or a trial balance CSV.

Is it legal to have software phone my customers about money?

Collections calling is regulated, and the rules differ by province and by whether you are chasing your own invoice or someone else's debt. CubeBooks is built for the first case, and the guardrails above are on by default and cannot be turned off: it identifies itself as automated, keeps to civil hours, honours a stop request permanently, and never asks for a card by phone. Have your own counsel look at your setup before you switch collections calls on. We will hand them the call logs.

Does it handle GST, QST and HST?

It does, by province, including input tax credits and the Quebec filing calendar. Say the total off the receipt and it splits the tax lines itself.

Is my voice recorded and kept?

The clip is stored with the entry as its audit trail, encrypted, in Canada. You can delete any clip and keep the entry. We do not train shared models on your books.

What is automated bookkeeping?

Software that reads your receipts, invoices and bank statements, drafts the journal entries, matches them to your bank and closes each month for you to approve. You stop typing transactions; you review what was drafted and hand your accountant finished books.

Does CubeBooks work outside Canada?

Yes. It runs in the US, Europe and elsewhere, handles US sales tax and EU VAT at the rates you set, and works in English, French, Spanish, Portuguese and German.

How is CubeBooks different from QuickBooks or Xero?

Those are ledgers you or a bookkeeper fill in. CubeBooks drafts the entries from your documents and your voice, and you approve them. Your accountant can still work in QuickBooks or Xero: CubeBooks exports to both.
